Setting up individual login options for a survey

How can I set up security on my survey so that respondents have to enter their email address and password to access the survey?

Global Password protection offers you limited security as respondents may share the password with others. For higher security, you can enable Email Address/Password validation on the survey. Respondents will have to enter their email address along with the individual password for the survey in order to access it. To enable email address-based password protection, go to:

  • Login >> Survey >> Edit >> Security

  • Under Survey Authentication, select the apt option
  • Select the type of login.
    1. Email/Password

      • Enter the Email Address Field Label as it appears in your lookup list.
      • Enter the Password Field Label as it appears in your lookup list.
      • Click Manage Lookup List to upload or type out a list with the email addresses and passwords.
      • Click Add New List.
      • Enter the List Name, then select the input method. To upload, select the file and upload, making sure your lookup list follows the file format specified. To copy/paste or type email addresses, separate values using a comma. Keep only one record (email address, password, etc.) per line.
      • Click Save.

      • Enter the Username Field Label as it appears in your lookup list.
      • Enter the Password Field Label as it appears in your lookup list.
      • Click Manage Lookup List to upload or type out a list with the email addresses and passwords.
      • Click Add New List.
      • Enter the List Name, then select the input method. To upload, select the file and upload. To copy/paste or type usernames and passwords, separate the username and passwords using a comma. Keep only one username + password per line.
      • Click Save.

      • Enter the Participant ID Field Label as it appears in your lookup list.
      • Click Manage Lookup List to upload or type out a list with the Participant IDs (tokens).
      • Click Add New List.
      • Enter the List Name, then select the input method. To copy/paste or type Participant IDs, be sure to keep only one Participant ID per line. To upload, select the file and upload. Uploaded Participant ID files can have up to 255 custom variable fields in addition to the Participant ID. Note: The first column in the file must be the Participant ID. If an email list is used to distribute the survey, and the email list has custom variables, the list last added will overwrite any other list with custom variables.
      • Click Save.

      • Click Manage Lookup List to upload or type out a list with the passwords.
      • Click Add New List.
      • Enter the List Name, then select the input method. To upload, select the file and upload, making sure the file matches the file format specified. To copy/paste or type passwords, separate the values with commas, and be sure to include only one record per line.
      • Click Save.
  • Click Save.

When respondents try to take the survey, they will be required to enter their login information to proceed. If the option to automatically detect the email address was used, they will only be asked for the password.

I want respondents to only enter their individual password. Can I still track their email addresses along with their response?

Yes, to do so you need to select the Password (Email Detected Automatically) option from under Survey Authentication Options.

The survey can now be accessed only via the Survey link that is sent via email. Respondents will only need to enter their password. They need not enter their email address however, email addresses are automatically tracked.

What are the benefits of using this option?

  • You can track responses using the Respondent Tracking link.
  • You can restrict multiple responses from the same respondents using ABBS (Anti Ballot Box Stuffing).

How do I include the login details (Login ID and/or password) in the email invitation?

While creating the email list, select the option EmailAddress,Filed 1, Field 2,…..Upto 255 variables etc. and add the login details in Field 1 and Field 2. Then while sending the survey, insert these custom variables in the email invitation.
