Scheduling: How QuestionPro UX Is Ending the Back-and-Forth Behind Every Research Session

Qualitative researchers today are surrounded by willing participants, well-designed studies, and full calendars. Yet despite all that readiness, most research teams still struggle to answer a simple operational question with any confidence:

Flexible Availability, Built for How You Recruit

For 1:1 Interviews and Usability Tests, moderators choose between Fixed Date Range — an overall window with recurring weekly availability, ideal for active studies and recruitment waves — or Specific Time Slots, where exact dates and times are hand-picked, ideal for executive interviews or curated scheduling.

Focus Groups work differently by design: a single Fixed Session date and time is proposed to the whole group, with an optional RSVP toggle for a simple Accept or Decline, and a Quorum setting that automatically locks the session in once enough participants have confirmed.

A Live Preview Before a Single Invite Goes Out

As rules are configured, a live Preview panel shows exactly what participants will see, along with invitation counts and total estimated scheduling capacity — so moderators can sanity-check the setup before committing to it.

Invitations and Role Assignment, Without Leaving the Platform

In the Invite Participants panel, moderators add each participant’s name and email and send booking or RSVP invitations directly — no copying links into external email threads. Moderators and silent Observers are assigned right alongside the study, so the right people always have the right access.

Participants follow a streamlined, three-step flow: select a local timezone, choose an available date and time, and confirm the booking after reviewing a clear summary — date, time, duration, and timezone. No guessing which link is the right one, no manual timezone math.

The Scheduling tab on the study overview page shows every invited and confirmed participant, their booking status, and their session time in one chronological view. When it’s time to go live, Moderators click Launch call room; Observers click Observe to join silently — no last-minute scrambling required.

How to Set Up Scheduling in QuestionPro UX

The workflow is designed to take minutes, not email threads.

  • Step 1: Open your study and navigate to Step 5. Scheduling during setup.
  • Step 2: Choose your availability model — Fixed Date Range or Specific Time Slots for Interviews and Usability Tests, or a Fixed Session (with optional RSVP and Quorum) for Focus Groups.
  • Step 3: Check the live Preview panel to confirm the booking experience, invitation counts, and total capacity.
  • Step 4: Add participants by name and email in the Invite Participants panel, then send booking or RSVP invites. Assign Moderators and Observers under Details.
  • Step 5: Participants book themselves in — timezone, date and time, then confirm.
  • Step 6: Track invited and confirmed sessions anytime from the Scheduling tab.
  • Step 7: When it’s time, click Launch call room to run the session, or Observe to join quietly.
