Microsoft Dynamics Survey Integration: Sync Feedback to Your CRM

microsoft-dynamics-integration

Sales and customer experience teams collect a lot of survey data. Too often, it stays stuck inside the survey tool instead of reaching the CRM where reps and account teams actually work. A Microsoft Dynamics survey integration closes that gap by pushing responses straight into Dynamics 365 records as they come in.

QuestionPro has offered a direct Dynamics integration since 2016, and the connection method has since moved to a more secure OAuth login flow. Sales teams can trigger a survey off a new lead, and customer success teams can route satisfaction scores straight into an account record.

This guide breaks down how the integration works, what teams actually use it for, and how it compares to Dynamics 365 Customer Voice.

What is Microsoft Dynamics survey integration?

Microsoft Dynamics survey integration is a connection that sends survey responses from a third-party survey platform directly into Microsoft Dynamics 365 CRM records. It lets teams map individual survey questions, custom variables, and system data to specific fields on a Lead, Contact, Account, or Case entity.

An entity, in Dynamics terms, is simply a data table, such as Contacts or Leads. Once mapped, every new response can create a fresh record or update an existing one automatically, with no manual export or import step.

This is different from building surveys natively inside Dynamics. The survey builder, logic, and reporting in QuestionPro’s survey software live outside Dynamics, and only the finished response data flows into the CRM.

Microsoft Dynamics survey integration vs. Dynamics 365 Customer Voice

Dynamics 365 Customer Voice is Microsoft’s own survey tool, built into the Power Platform. It is a common source of confusion because both options ultimately land feedback inside Dynamics, but they solve different problems.

The table below lays out the practical differences a team should weigh before choosing one.

Aspect QuestionPro Dynamics integration Dynamics 365 Customer Voice
Where surveys are built In QuestionPro, outside the CRM Natively inside the Power Platform
Survey logic depth Advanced branching, scoring, and question types built for research Simpler, form-style survey logic
Data storage Synced into Dynamics entities via mapping Stored in Dataverse alongside other Dynamics data
Distribution channels Email, SMS, mobile app, kiosk, offline, embedded Primarily email and Power Automate triggers
Best fit Teams that need research-grade surveys plus CRM sync Teams fully committed to the Power Platform with simpler survey needs

Neither option is universally better. A team already deep in Power Automate workflows may prefer Customer Voice for its native fit, while a team that needs heavier survey logic, multi-channel distribution, or offline data collection will get more from a dedicated survey platform connected through integration.

How does the QuestionPro and Microsoft Dynamics integration work?

The integration works through OAuth authentication, a secure login method where a user signs in through Microsoft’s own authorization screen instead of typing a password into QuestionPro. Once the account is verified, QuestionPro can read and write to the Dynamics entities the user has permission to access.

After the connection is authorized, survey questions, custom variables, and system fields such as response ID or timestamp get mapped to Dynamics fields. Each mapping also gets an action: create a new record, update an existing one, or update if it exists and create one if it does not.

From that point forward, every completed response that comes through the mapped survey link pushes data into Dynamics automatically. This connection sits inside the broader QuestionPro Integrations module, so the same survey can also feed other connected systems alongside Dynamics.

What can you do with survey data inside Microsoft Dynamics?

Once responses are flowing into Dynamics, the practical uses tend to cluster around a few recurring patterns. These examples reflect how sales and customer success teams typically put the integration to work.

  • Lead qualification surveys. A short survey sent to a new inquiry can create a Dynamics lead automatically, with answers populating fields like budget range or timeline.
  • Post-sale satisfaction tracking. A customer satisfaction survey sent after onboarding can update the related account record with a current score, giving account managers visibility without leaving the CRM.
  • Renewal risk flags. A response from an NPS survey below a set threshold can update a case or account field, prompting a follow-up task inside Dynamics before a renewal conversation happens.
  • Event and webinar follow-up. Attendance and interest data collected through a survey can populate a contact record, feeding directly into next-step outreach.

Forrester has found that more than 60 percent of customer experience professionals say their businesses lack a closed-loop process for CX feedback, meaning feedback gets collected but nothing happens with it afterward. Closed-loop feedback simply means routing a response to the right person or workflow so an action follows. Pushing survey data straight into the CRM record a team already works from is one direct way to close that gap.

How to connect QuestionPro surveys to Microsoft Dynamics

Setting up the integration takes place inside the QuestionPro platform and requires a Research Edition license. The steps below reflect the current OAuth-based connection process.

  1. Go to Survey >> Integrations >> Microsoft Dynamics inside your survey.
  2. Enter a name for the connection along with your Dynamics organization URL, then save it.
  3. Click Login with MS Dynamics to open Microsoft’s authorization window, and sign in with your Microsoft credentials.
  4. Once connected, click + Add New Mapping and choose whether the mapping should create a new record, update an existing one, or update if it exists and create one if not.
  5. Select the Dynamics entity you want to map to, then match each survey question, custom variable, or system field to the corresponding Dynamics field.
  6. Save the mapping and collect responses from the mapped survey link. Responses collected from any other link will not sync to Dynamics.

The full setup, including screenshots for each step, is documented in QuestionPro’s Microsoft Dynamics CRM integration guide.

How to measure success after connecting your survey tool to Dynamics

A working integration should be judged by whether it actually changes what teams do with feedback, not just whether data arrives. A few metrics make that easier to track over time.

Metric What it tells you
Sync accuracy rate Percentage of responses that land in the correct entity and field without manual correction
Time to closed loop How long between a response arriving and a follow-up action or task being created
Duplicate record rate How often new records get created when an update should have occurred instead
Downstream conversion Whether survey-triggered leads or flagged accounts move through the pipeline differently than untracked ones

Reviewing these numbers a few weeks after setup usually surfaces mapping issues before they compound into messy CRM data. Teams that need the data to trigger actions outside Dynamics itself can pair the integration with QuestionPro webhooks to push the same response event to other tools in real time.

Common mistakes to avoid with CRM survey integrations

Most integration problems come from a handful of avoidable setup errors rather than platform limitations. Watching for these during setup saves cleanup work later.

  • Mismatched field types.
Close-ended questions in QuestionPro save as numeric values, so mapping them to a text field in Dynamics can cause sync errors.
  • Wrong action setting.
Using “create new” for every response instead of “update if exists” produces duplicate contact or account records over time.
  • Collecting from the wrong link.
Data only syncs when responses come from the survey link inside the mapping, so distributing an unmapped link means the data never reaches Dynamics.
  • Overly broad OAuth permissions.
Granting more entity access than the survey actually needs increases the surface area for accidental data exposure.

Teams running Dynamics alongside another CRM should also confirm mappings do not overlap. QuestionPro’s Salesforce integration follows a similar mapping model, so the same review habits apply if a survey feeds more than one CRM.

Is a Dynamics survey integration the right fit for your team?

Not every team needs a dedicated survey-to-CRM connection, so it helps to weigh the situation against a short set of criteria before setting one up.

You are likely a good fit if You may want to hold off if
You need advanced survey logic, scoring, or multi-channel distribution Your surveys are short, simple forms with no branching
Sales and CX teams both rely on Dynamics for daily work Feedback data is only reviewed by a small research team outside the CRM
You want responses to trigger CRM workflows automatically You are still deciding on a long-term survey platform
You already use QuestionPro or a similar research-grade tool You are fully standardized on the Power Platform with simple needs

Teams that check most of the boxes in the first column tend to see the integration pay off quickly, since it removes a manual export step that was already slowing them down.

Turning survey responses into CRM-ready data

A survey platform and a CRM solve different problems, but customer and prospect feedback is more useful when both systems see it. Connecting the two removes the manual work of copying data between tools and gives sales and CX teams one less reason to work from spreadsheets instead of the CRM.

The setup takes a handful of mapping decisions up front. From there, every new response becomes structured data waiting inside the record a team already checks every day.

Frequently Asked Questions (FAQs)

Does the integration support Dynamics 365 modules beyond Sales and Customer Service?

Yes. Since the mapping works at the entity level, it can connect to standard or custom objects across supported Dynamics 365 modules, not only Sales or Customer Service, as long as the entity exists in your organization’s Dynamics instance.

Can one QuestionPro survey push data into more than one Dynamics entity?

A single survey can include multiple mappings, so different questions or custom variables can update separate entities, such as creating a lead while also updating a related account field, within the same response.

What QuestionPro license is required for Microsoft Dynamics integration?

The Microsoft Dynamics integration is available on the Research Edition license. Teams on other QuestionPro plans would need to upgrade before the Dynamics connection option appears in the survey Integrations menu, so it is worth checking your current plan first.

Does data collected through the offline mobile app sync to Dynamics?

Offline responses collected through the QuestionPro mobile app sync to Dynamics once the device reconnects and uploads its stored responses. They follow the same field mappings and record actions set up for the survey, so no separate configuration is needed for offline data.

Can Dynamics data be pulled into a survey before someone answers it?

Yes. The “Pull Data” mapping type retrieves existing values from a Dynamics record and displays them inside the survey, which is useful for confirming account details or pre-filling known information instead of asking respondents to re-enter it.
