Distribute Templates
What are Distribute Templates in Customer Experience?
Distribute Templates are the reusable email and SMS messages that carry your survey invitations and reminders. When you set up a workflow rule or reminder, you choose one of these templates.
You can find Distribute Templates under Deploy > Distribute > Templates. Use the channel dropdown above the list to switch between Email and SMS templates. The list shows each template's Template name, Language, and Last edited date. The Default Email Template and Default SMS Template are labeled Default.
How do I create an email template?
- Go to Deploy > Distribute > Templates.
- Make sure the channel dropdown is set to Email.
- Click + Template. The New Email template editor opens.
- Under Email details, enter a Template name, Subject, and From name.
- Select a From email and a Reply to address.
- Edit the message in the center canvas. Add blocks from the Insert tab, and style the email from the Themes tab.
- Click Save. The message "Template created successfully" confirms the template was added.
Fields marked with an asterisk (*) are required: Template name, Subject, From name, and From email.
What can I add from the Insert tab?
- Text – A rich-text block. Use the toolbar for bold, italic, underline, strikethrough, text color, highlight, alignment, lists, and clearing formatting.
- Button – A call-to-action button. Set the Button text and Link URL (it defaults to <SURVEY_LINK>), plus alignment, background, and text color.
- Image, Divider, Spacer, and Footer – Layout and branding blocks.
- Survey links – Click <SURVEY_LINK> to insert the tracked survey link.
- Variables – Insert personalization fields: {FIRST_NAME}, {LAST_NAME}, and {CUSTOM1} through {CUSTOM5}. These are replaced with each customer's data when the message is sent.
How do I edit a block?
- Click a block in the canvas to select it.
- Use the block toolbar to drag the block to a new position, duplicate it, or delete it.
- Adjust the block's properties in the Settings panel on the right, such as Alignment, Font size, Line height, Vertical padding, and color.
- Click the X in the Settings panel to return to the Insert tab.
How do I style an email with themes?
Open the Themes tab in the editor. You can apply one of six preset themes or adjust each style setting yourself.
- Theme presets – Simple Light, Simple Dark, Streamline, Momentum, Tropic, and Slate.
- Starter recipes – Ready-made layouts: Survey invitation (logo, headline, body, CTA, footer), Newsletter (hero image, story, social), and Announcement (quote, two columns, CTA).
- Colours – Primary, Accent, Email background, Canvas backdrop, Heading text, and Body text.
- Typography – Heading font, Body font, and Base font size.
- Layout – Content width and Corner radius.
How do I create an SMS template?
- On the Distribute Templates screen, set the channel dropdown to SMS.
- Click + Template. The New SMS template editor opens.
- Enter a Template name.
- Write your text in the Message box. Click <SURVEY_LINK> or a variable on the right to insert it into the message.
- Click Save.
What actions can I take on an existing template?
Hover over a template in the list to see its actions:
- Preview (eye icon) – Shows the email as it will look in a recipient's inbox, including the sender name, address, and subject.
- Edit (pencil icon) – Opens the template in the editor. Click the template name to do the same. After making changes, click Update.
- Translate – Opens the editor with a Language picker. Choose a language and click Auto translate to create a translated version.
- Copy – Creates a duplicate named "<template name> - Copy".
- Delete (trash icon) – Removes the template. Default templates can't be deleted.
What are some best practices for Distribute Templates?
- Always include <SURVEY_LINK> in the message or in a button. Without it, customers can't open the survey.
- Personalize the greeting with {FIRST_NAME}.
- Use Copy to create variations of a template you already like.
- Preview every email before you use it in a workflow rule.
- Keep SMS messages short. Long messages may be split into several texts.
