Embed data
QuestionPro allows you to upload external data (Excel file) including demographic and other related information that you know about respondents beforehand. This data can be used for data pre-population in your survey and for setting up branching logic.
For example, consider that you want to conduct employee satisfaction survey. With the help of embed data feature, you can upload employee details (Emp_id, name, email address, location, and department) in your survey to:
- Pre-populate responses: To display embedded data in your survey.
- Set-up branching logic: To determine which questions respondents should be diplayed to the respondent.
The Excel file can be embedded to any open-ended question in your survey.
- Go to: Login » Surveys (Select a survey) » Edit » Workspace.
- For the open-ended text question for which you wish to embed data, click on Settings
Under Embed Data, click on add new file and select an Excel file that you want to upload.
- The excel file should have the following fields:
Identifier: This should be the 1st field in your Excel file which includes unique values (employee ID, product code, etc.).
Custom fields: Custom fields may contain related information such as demographic details - name, email address, department, location or any other information. These fields should have column headers as Custom 1, Custom 2, Custom 3 and so on.
- You can optionally add a page break after this question so that respondents have to verify before they can proceed with the survey.
At the time of taking a survey when the respondent enters their employee ID, it gets validated with the value in the 1st column (identifier) of the embedded Excel file. The values in the custom variables associated with the employee ID can be used wherever custom variables can be utilized in your survey such as branching logic, data pre-population and many more.
Yes. You can delete the Excel file that you have uploaded/embedded to the survey.
To delete Excel file:
- Go to: Login » Surveys (Select a survey) » Edit » Workspace.
Go to the question where you have embedded the Excel file
- Click on Settings. Under embed data, click on manage files icon (on the right corner).
Select the Excel file that you want to delete and click on delete icon.
